* The Jewish Federation of Cleveland, Dept of External Affairs is looking for a PT administrative assistant (.5 – 20hrs/wk).
- Provide administrative support to the Senior Associate in OCC responsible for planning incoming and outgoing missions and VIP travel;
- Provide administrative support to the Director of Community-wide security relating to reports and meeting logistics.
Essential Job Functions:
Missions travel: (.3 FTE)
- Prepare and follow up on VIP and other forms for JFNA.
- Prepare all Federation forms and applications necessary for missions and VIP travel.
- Maintain OCC engagement chart for missions travel.
- Engage with synagogues and day schools to solicit information on missions travel, preparations, meetings, requirements, etc.
- Maintain list of guides.
- Distribute and collect applications and waiver forms for outgoing missions. Subsequently, prepare and maintain charts and lists relating to participations.
- Prepare pre-trip packets for missions travel.
- Maintain outgoing site file and resource file.
- Code mission participants and VIP travelers to Israel and St. Petersburg.
Community-wide security: (.2 FTE)
- Scheduling and meeting logistics.
- Prepare documents, presentation and event security materials
- Prepare expense reports and invoice requests
- Other administrative duties as requested
Knowledge, Skills, Abilities and Personal Characteristics
- Minimum one-year AA experience.
- Demonstrated level of proficiency with multiple Microsoft products, especially Excel.
- Strong organizational skills
- Experience coordinating internal and external meetings.
- Strong communication skills: written, oral, and in customer service.
- Ability to tactfully and effectively deal with public and staff in a personable and professional manner.
- Team player.
- Conscientious attention to detail and follow-up; self-motivated, proactive and solution focused.
- Knowledge of Hebrew and Israel a plus.
